Data protection

The protection of personal data is an important concern of the Austrian Agency for Research Integrity (OeAWI). With this statement, the OeAWI provides information in accordance with the applicable legal provisions on what personal data is collected, processed and used in the context of the use of the >oeawi.at< website and the services made available through it (logins, registrations, etc.).

Responsible Party and Scope of Application

The Austrian Agency for Research Integrity (OeAWI) is responsible in terms of Article 4(7) of the General Data Protection Regulation (GDPR).

If the OeAWI processes your personal data for the provision of certain services, you will subsequently receive information about the specific processes, the scope and purpose of the data processing, the legal basis for the processing and the respective storage period.

 

1. Provision and Use of the OeAWI website

a. Type and Scope of Data Processing

Every time you access the OeAWI website (www.oeawi.at) or retrieve a file, the following data is logged for the purpose of security and further development of the website and for the purpose of technically necessary troubleshooting and error correction:

• requested URL
• IP address
• Date and time of the request
• Referrer URL if applicable
• Browser identification
• Status message
• Size of the response in bytes

This data is not analysed to create individual user profiles, nor is this data passed on, with the exception of our contract processor Monobunt GMBH. The website and all associated services are managed by Monobunt. A GDPR-compliant order processing contract has been signed.

b. Legal Foundation
Pursuant to Art. 6 para. 1 lit. f GDPR, the legal basis is our legitimate interest to ensure the communicability and security of the website.

c. Storage Period

The maximum storage period is 14 days.

2. Newsletter

a. Type and Scope of Data Processing
After registering for the newsletter


• Name and e mail address,
• Time of registration and confirmation
• IP-address and possible changes


of the newsletter recipient will be stored and processed for the purpose of mailing. Subscriptions to our newsletter are logged in order to comply with our accountability.

 

The OeAWI uses the so-called double opt-in procedure for sending the newsletter, i.e. the OeAWI will send you the newsletter only after you have confirmed your registration via a confirmation e-mail sent to you for this purpose. You can then click on a link contained in the e-mail. Purpose: This is to ensure that only you as the owner of the specified e-mail address can register for the newsletter.


You can unsubscribe from the newsletter at any time by either unsubscribing directly via the link provided in the newsletter or alternatively by sending your cancellation to the following address (either by post or e-mail): Austrian Agency for Research Integrity (OeAWI); Landstraßer Hauptstraße 9, Top 21, A-1030 Vienna. E-mail: office@oeawi.at . If you choose to unsubscribe from the newsletter, your personal data will be deleted from this data application immediately after submitting your cancellation request.

 

This personal data is not transmitted to third parties. The newsletter programme, including the mail servers used for distribution, are managed by Monobunt GmbH (contract processor of the OeAWI).

 

b. Legal Foundation
The legal basis for the processing of your e-mail address for the newsletter dispatch is your voluntarily given consent in accordance with Art. 6 para. 1 lit. a GDPR.


Declaration of consent:
‘Yes, I agree to receive the OeAWI newsletter at the e-mail address given above. I can revoke this consent any time using the “unsubscribe” function contained in each newsletter.’

 

c. Storage Period
Your e-mail address will be stored for as long as you subscribe to the newsletter.

3. eLearning

a. Type and Scope of Data Processing
Employees or other beneficiaries of OeAWI member organisation(s) can register for free access to the OeAWI eLearning courses. In order to secure access to the E-Learning environment on the OeAWI website, the OeAWI requires the following information:


• E-mail address at your institution
• First and last name
• Time of registration and confirmation
• Time of last login
• The IP address used for registration and any changes thereof.


Registrations for the OeAWI eLearning environment are logged in order to comply with our accountability obligations. The data is used exclusively for user authentication. This data is not passed on to third parties.


The OeAWI uses the so-called double opt-in procedure for the registration process, i.e. the OeAWI can verify your account only after you have confirmed your registration via a confirmation e-mail sent to you for this purpose. You can then click on a link contained in the e-mail. Purpose: This is to ensure that only you as the owner of the specified e-mail address can register for the OeAWI eLearning.


b. Legal Foundation
The legal basis for the processing is your voluntarily given consent in accordance with Art. 6 para. 1 lit. a GDPR. Consent can be withdrawn at any time.


c. Storage Period
Your e-mail address, first and last name, and the time of your last login are stored for as long as you remain registered for the OeAWI eLearning environment. You can delete your account at any time by sending a request to user.management@oeawi.at using the form provided on the website.


d. Technology Used for Registration for the OeAWI eLearning Environment – MemberPress
The OeAWI uses MemberPress as a user authentication plug-in. MemberPress is a membership plug-in from the US provider Caseproof, LLC, 11429 S District Dr. #1227, South Jordan, UT 84095, USA.


All data generated by MemberPress is stored locally in the database of the OeAWI website. At no time will personal information of OeAWI MemberPress users be sent to MemberPress.com or associated servers or providers.

4. Registration for Events

a. Type and Scope of Data Processing
The OeAWI uses the provider Guestoo to register for events. If you book an event via Guestoo using the link provided on this page, Guestoo collects your personal data, which you enter in the registration form for the relevant event. The personal data collected includes


• Your name
• Your organisation
• Your e-mail address


Depending on the event, it may be necessary in individual cases to provide further information to the event organisers.


b. Legal Foundation
Data processing takes place on the basis of your voluntarily granted consent in accordance with Art. 6 para. 1 lit. a GDPR. Your consent can be revoked at any time.


c. Storage Period
Participant data will be deleted by the OeAWI 30 years after the event took place, in order to be able to reconstruct—if necessary—the presence of event participants or speakers retroactively.
The data on Guestoo will be deleted manually by the OeAWI within six months.

 

5. Use of Cookies

The OeAWI does not set any cookies requiring your consent, but uses only cookies that are absolutely necessary for the operation of the website.


a. Type and Scope of Data Processing
Cookies are not used for visitors who are not logged in.
Cookies are used on the OeAWI website. Cookies are able, for example, to recognise the browser you are using when you visit our website again and to transmit various kinds of information.
Preferred settings (e.g. country and language settings) can be determined with the help of cookies. It is also possible to analyse website usage and improve the performance and functionality of the website. For example, information is collected on how visitors use the website, which pages they access most frequently, or whether error messages are displayed on certain pages.

b. Legal Foundation
The legal basis for the processing of personal data using cookies is our legitimate interest, pursuant to Art. 6 para. 1 lit. f GDPR, so that the OeAWI website can be visited and the functions offered can be used. Only strictly necessary cookies are used.


c. Storage Period
The maximum storage period is two days.

6. Date Subject Rights

The following data subjects rights apply


• Right of access (Art. 15 GDPR);
• Right to rectification (Art. 16 GDPR);
• Right to deletion (Art. 17 GDPR);
• Right to restriction of processing (Art. 18 GDPR);
• Right to data portability (Art. 20 GDPR);
• Right to objection (Art. 21 GDPR).

 

In accordance with Art. 22 GDPR, no automatic decision-making is practiced.
In accordance with Art. 77 GDPR, you can lodge a complaint with the relevant supervisory authority.
